Chisholm processes at a Disaster Recovery site

 

Scenario

The Toronto office is completely unusable.

 

Steps Management takes

Create new  Office

-          Select people would call Agility Recovery (877-364-9393) and announce a Disaster. We would ask for another office to be created near 2 Bloor Street office unless this is logistically a bad idea (ie. streets to Toronto are down).

Post location of new office on website

-          After a new office location was decided and found (takes an hour or so) we would post this new address on the Disaster Recovery Procedures page (found by clicking ‘Chisholm Employee Link’ at www.rachisholm.com ).

-          IT (Rick, Shane, Philip, James) would do this. In a pinch we could also ask GK Media (Glenn Patchet  416 - 361-2297) to do this. Tell them to modify the Chisholm Disaster Recovery Procedures webpage under Chisholm Employee Links on the www.rachisholm.com webpage.

Notify Toronto Chisholm users

-          Managers would be notified of the new office for Chisholm in Toronto. The managers in turn would notify their staff by phone and / or email of the address of the new office and when to report for work.

-          Users that cannot work at this new location could work from home (upon their manager’s approval) by following the ‘Disaster Recovery Procedures’ on our webpage found by clicking the ‘Chisholm Employee Links’ at www.rachisholm.com   

Inform Phone company

-          IT (Primary – Rick or Secondary - James, Shane, Philip) would call our phone company (EPIK Networks  416-921-2221) and ask them to forward our lines to the Disaster Recovery site.

 

 

How processes will work at Disaster Recovery site

Letter Mail (ie. snail mail)

How we receive letter mail

Currently Terry Roberts picks up the letter mail at 50 Charles Street. Terry will still pick up the mail but bring it to the new office

 

How we send letter mail

Courier (International deliveries)

-          TNT web logon. For credentials click here  (viewable from in office or once logged in)

-          To view mailing codes click the following link  Mailing Zones

Fedex  

-          fedexepreference@mail.canadacustomer.fedex.com

-          For Fedex number go here (viewable from in office or once logged in)

Faxes

-          logon to Chisholm Email  (Click Chisholm Email found by clicking ‘Chisholm Employee Link’ at www.rachisholm.com)

-          enter your email address and password

-          once logged in click Public folders (bottom left)

-          click the plus beside ‘Ronald A Chisholm Limited’ then click Faxes

-          click attachment within each email to find your fax

Printing if working at home

If you are working from home you will be getting to your files with a ‘Remote Desktop’ session. For some users your home printer will be detected and added to the printers on this ‘Remote Desktop’ session. However if your printer is not detected then to print something at home:

-          send the document as an attachment in an email to yourself from Outlook within the Remote Desktop session.

-          then minimize the ‘Remote Desktop’ session

-          Go to www.rachisholm.com , click Chisholm Employee Links, then Chisholm Email

-          Enter your email address and password and open the email you just sent yourself.

-          Open the attachment and print it

 

How will people get invoices

-          Comes in the letter mail (see above).

-          If the user is working from home then this letter mail will be scanned to an email as a PDF document (by someone at the Disaster Recovery office) and then emailed to the user needing it.

How will invoices get approved

Payables Invoices

Same as today if working in Disaster Recovery office.

If the person needing to approve the invoice was working from home they would be sent the invoice as a PDF document. Once they looked over and approved the document they would send the PDF document to accounting saying that they approve it. Accounting would put it in SAP. Of course, in the SAP world Don says anyone can approve an invoice (meaning anyone can enter it into the SAP system).

 

Receivable Invoices

Same as today if working in Disaster Recovery office.

If working from home see the note ‘Printing if working from home’ to print the document and snail-mail it to the customer like normal.

 

How will Chisholm pay bills?

Same as today if working at the Disaster Recovery office
